Job Description
Assist COO in daily working.
Maintain basic knowledge of day-to-day processes of departments under the COO, to assist in resourcing as needed.
Follow and analyze all the business processes of the company.
Manage administrative schedule, making appointments, task-reminder, prepare supporting documents, data management and filing, provide general assistance, and support any task that COO needs.
Assists in creating high-level presentations and being able to do the presentation.
Liaising with clients, suppliers, and other staff (follow up deadline schedule cross-division, follow up pending list request with clients/vendors/partners).
Screening phone calls, chats, emails, enquiries and requests, and handling in an appropriate & professional way.
Prepare documents including correspondence, reports, drafts, memos and emails.
Maintains files and equipment in an orderly and professional manner.
Provide general administrative and clerical support and copying to management.
Facilitate various internal meetings by scheduling, creating meeting agendas, note taking, providing timely meeting minutes, and appropriately following up on deliverables.
Facilitate special projects as assigned
Requirements:
Minimum 2 years experiences as Personal Assistant to Executive Level, or relevant experience (preferably in e-commerce industry)
Male / Female, domicile in Jakarta
Smart & fast learner
Good understanding of e-commerce operations, practices and procedures.
Strong communication and human-relation skills.
Fluent in English both oral & written.
Attention to detail & thoroughness.
Agile, multitasking, well organized, and trusted.
Proficient with MS Word, Excel, PowerPoint and Outlook and office equipment.
